Set up payment cadences
A payment cadence is a reusable deposit schedule: a set of payments, each a percent or a fixed dollar amount, and each timed from signing or from the event date. Author the ones your studio uses once, mark a default, and every new event starts with the right schedule instead of someone typing it in.
Before you start
- Florio ships three to start: Standard (50 / 25 / 25), Two-stage (50 / 50), and Net 30. You may not need to add any; you can just pick a default.
- The percents in a cadence should add to 100. If the cadence also has fixed payments, those come off the top first and the percents divide what is left, so they still add to 100.
Author a cadence
- Open Admin, then Payment cadences.
- Click + Add cadence.
- Give it a Name (for example, “Net 45 from signing, balance before event”).
- Add each payment with + Add payment, then set:
- Percent or Fixed, and the amount: a percentage, or a dollar figure.
- A label, for example “Deposit”.
- A timing: At signing, Net days after signing, Days before the event, or Net days after the event.
- Watch the running readout. On a percent-only cadence it reads Total: 100%; on one with a fixed payment it names the fixed money and the percentages that split the remainder, for example $60,000.00 fixed · 100% of the remainder. When it stops showing a problem, click Save.
Choose the default
On any cadence card, click Set as default. The Tenant default applies to a new event unless a customer or planner has their own cadence assigned.
Good to know
- Archive retires a cadence you no longer offer. Events already using it keep their schedule, so nothing in flight changes.
- A fixed payment is the same dollar figure on every event that uses the cadence, which is what a set mobilization deposit wants. It is taken off the signed total first, and the percent payments then split what remains. A cadence of only fixed payments is allowed.
- A cadence works out its dates from a rule. When a customer negotiates a specific date, you can move that payment without touching the amounts.
- A cadence is a schedule, not an invoice: it decides when money is due. Seeing that expected cash is the job of the Cash / Receivables report.
