Pick up an order at the vendor

Some vendors let you collect an order at their counter instead of shipping it: the hardware store across town, a distributor’s will-call desk, a partner store that has the part on the shelf today. A pickup is a purchase order like any other, with one difference in where it goes: nothing ships, and somebody drives. Florio gives that somebody a piece of work to clock against, the list of what to collect, and both order numbers for the counter.

Before you start

  • Purchasing must be turned on for your workspace. Raising the order needs Order materials and enter vendor bills, the purchaser’s permission. Assigning the trip needs Build schedules & assign crew, the dispatcher’s.
  • The collector needs no purchasing permission at all. Being on the trip is what lets them open the collect list and record what they got, so a warehouse hand or a technician can make the run.

Raise the order as a pickup

  1. In Create purchase order, under Ship to, choose Pickup and fill in Store or branch: the store and its address. It is where the collector drives, and the order will not save as a pickup without it.
  2. Place the order with the vendor as usual. The PDF heads its address block Customer pickup instead of a shipping address, so the store knows nobody is expecting a delivery.
  3. When the vendor’s confirmation arrives, put their number in Vendor order no. The store will ask for it at the counter, and the order page reminds you until it is there.

An order already raised can become a pickup: change Ship to on the order page to Pickup and name the store when asked. The purchase order list shows the store beside the word Pickup, where the other orders show their address.

Mark it ready

The order page gains a Pickup card. Its Ready for pickup line reads Not yet until somebody says otherwise. Click Vendor says it’s ready when the store calls, or let vendor mail do it: a ready-for-pickup notice from the vendor attaches to the order on its own and stamps it ready as of the moment the vendor sent it. The order’s Vendor documents card says so. See Vendor mail.

Clear takes the stamp off if it was wrong. Nothing waits on the stamp. It is there so nobody is sent for an order the store has not pulled yet.

Assign the trip

  1. On the Pickup card, click Assign pickup. It is available once the order is placed; before that the button reads Place the order first, because the store has nothing to hand over until the order exists on their side.
  2. Pick the Day, and a Window if the store’s hours matter.
  3. Under Who collects it, add the people making the trip. This is the same crew picker every schedule block uses: a double booking warns you, and a hard conflict stops you, with Assign anyway if you mean it.
  4. Add a Note for the collector when there is something to know: who to ask for, where the counter is, which door.
  5. Click Assign pickup. The trip lands on each collector’s day as a vendor pickup block, with the store as its location, and shows on the schedule boards under the order’s number the way an event’s blocks show under the event.

The card then lists every trip: Day, Window, Who, Status, the time Clocked against it, and what came home under Collected. If the store was short, Assign another pickup plans a second trip for the rest; the dialog warns that a trip is already planned, so a second one is a choice, not an accident.

Collect it

What the collector does, on their phone:

  1. Open My Day. The pickup is a card titled with the store. Under it sit the order number, the jobs it serves, and two numbers side by side: Their order no. and Our PO, each with a copy button, so the number is ready for the counter. When the vendor has said the order is ready, the card says since when.
  2. Clock in on the block as on any other work. The drive and the wait at the counter are its time.
  3. Open the Collect list. Both numbers sit big at the top. Below them, the lines by job: the item, the vendor’s part number, the Outstanding quantity, and Collected now, which starts at everything outstanding. Step a line down if the store is short, and add a note if anything was short or swapped. There are no prices on this list.
  4. Tap Collected. The order receives what you got, line by line, and the trip is complete. Anything you stepped down stays on order for another trip. Clock out when you are back.

The office sees all of it on the order: the lines received, the trip’s Collected cell with the count and the note, the minutes clocked, and the entries on the order’s activity and on each job’s.

Good to know

  • Collected means received, not issued. For a pickup that goes straight to a job site, the parts are received on the order the moment they are collected. Issuing them to the job stays the project’s own step, exactly as for a delivery.
  • Cancelling a pickup order cancels its open trips. A trip already collected stays as the record of what came home.
  • My Day is part of Service. In a workspace without Service, the collector still sees the trip on their schedule under Time, with the store and the order number, and the office receives the order from the order page as usual.
  • The Florio iPhone app gets the same card and collect list in a coming TestFlight build.
