Countersign a proposal
A client’s proposal link used to become a dead end the moment they signed it: a thank-you page with nothing on it. Now that same link opens Your signed agreement and keeps working for good. You can also add your own signature to what they signed, and send them the fully signed copy.
What the client sees after signing
Their original link now shows who signed and when, with two things to open:
- Download signed agreement (PDF) gives them the exact document they signed, with their signature printed on the client line and a signature certificate as the last page.
- View the proposal with current payments opens the live proposal, so they can always see what they have paid and what is still due.
The link does not expire. The email they were sent carries it, so they can come back to it any time.
Who is signing
Before anything else, the signing page asks Who is signing? with nothing pre-selected. If the person who opens the link is not the one it was addressed to, they choose I’m someone else and give their own name and email, so the signed copy reaches the person who actually signed. The addressee gets a note telling them who signed.
This matters more than it sounds. Proposals get forwarded, and before this the signature was recorded against whoever the email was addressed to.
What someone else is asked for
A signer who is not the addressee is also asked for a phone number, because a contract with someone we have not corresponded with needs a way to reach them. A mailing address, organization and title are optional. If they start the address, they are asked to finish it, since a street with no city cannot be posted to.
Their organization and title print on the signature certificate. Their phone and address do not: that PDF travels, and anyone holding a link to the proposal can open it.
In Florio, their details appear under the signed row on the Delivery panel. They are shown as given and cannot be edited, because they are part of the signing record.
If the person who signed is not already a contact on the customer, Florio raises a Signed by someone new card on the event. You can Add as contact, which adds them to the existing customer with the name, email, phone and title they gave, or Dismiss it. Neither changes who the customer on the event is.
Countersigning
Most clients never ask for this. Some, especially law firms, want the agreement signed by both sides.
On the Delivery panel, the signed row offers Countersign. It needs the Countersign proposals permission, which starts with administrators only and can be granted per person in Admin › Roles, because countersigning binds the company.
The dialog shows which document you are signing and who signed it first, takes your name and an optional title, and lets you draw a signature or sign with your typed name. You have to confirm that you are authorized to sign for the company. Email the client the fully signed copy is on by default and names the address it will use.
Countersigning does not change the deal. The event was already signed, scheduled and billed when the client signed; this is added afterwards.
The copy the client receives comes from you by name, with replies going to your sales address, so it reads as correspondence from the person they have been dealing with rather than an automated notice.
What the fully signed PDF is
Your countersignature is a page added to the back of the file the client signed. Nothing in front of it is redrawn, so the fully signed copy can never drift from what they agreed to. The added page names the signature line it answers, records who countersigned and when, repeats the client’s signing record, and names the file it was attached to.
Afterwards the client’s own link serves the fully signed copy instead: one button, the most complete version. Staff can still download the client-signed file on its own from Florio.
If the email does not go out, the countersignature still stands and the Delivery row offers Send to client.
Change orders
A signed change order works the same way, and its countersignature page says which change order it answers.
