Override the terms or tax on an event

Your studio has standard terms and a standard tax setup, and most events use them without a second thought. Now and then a booking needs its own: a venue that demands different language, or a nonprofit customer whose sale is exempt. Both live on the event record, and both start from your defaults so you only change what is different.

Before you start

Override the terms for one event

  1. Open the event’s Proposals tab and find the Terms & Conditions panel, beside the client paper it governs. By default it shows the standard terms it is using.

  2. Click Customize for this event, then Edit to change the language for this booking only.

  3. If your studio routes terms changes through legal review, use Submit for approval. The panel shows the change as awaiting approval until it clears. To go back to the standard terms, use Reset.

  1. When a location falls in a jurisdiction where the customer holds an exemption, the Tax exemption panel appears on the event’s Financials tab.

  2. Use Select a certificate to pick one of the customer’s certificates on file, then Link it to the booking. The panel then shows the sale as backed by a certificate, so the proposal and invoice come out untaxed and the exemption is defensible at audit time.

  3. No certificate on the customer yet? Manage certificates takes you to the customer’s certificates so you can add one. Adding and validating certificates is covered in Handle a tax-exempt customer.

Good to know

  • Defaults do the work. The point of both panels is that you rarely touch them. Overriding is the exception, so the standard case stays fast.
  • Exemptions live on the customer, not the event. A certificate is held once on the customer and can back every exempt sale they have. The event just links to it.
  • Policy may require a certificate. If your studio’s tax-exempt policy blocks an exempt sale with no valid certificate, the panel says so until you link one.
