Manager quickstart: your first week of scheduling

This is the shortest honest path to running your crew on Florio. Do it with one real event, not a test one; the boards only teach you something when the work is real.

Before the week starts

  1. Put people on teams. Admin, then Teams: create flower production, carpentry, props, delivery, whatever your shop calls them, add each person, and mark the managers. Five minutes, and it is why the boards show anyone at all. Set up teams, queues, and vehicles
  2. Fill the two time-off queues (leadership and payroll processing) so the first leave request does not surprise you.

Day one: frame the event

  1. Open your next signed event. If its Schedule panel has its buttons off, the client’s acceptance has not been recorded yet, and one link on that panel takes you to where you record it. Unlock scheduling for an event
  2. Click Scaffold day-of, then Plan backward, then Seed backlog. A minute’s work: the event day now has its Load, Leave, Setup, Event, and Breakdown phases, sized from the hours and crew you sold, the planner has laid them out backward from the moment setup has to be complete, and each team’s backlog holds the prep and the post-event recondition, one task per sold line. Midweek: place the flexible work

  1. Open Scheduling, then Capacity, pick your team, and place backlog tasks onto person-days: click the task, click the cell. Watch two things while you place: the window pill on each task, where perishable stays close to the event and durable can move weeks earlier, and the Week column, where a light week can absorb durable work and an OT flag means move something rather than add more. The logistics meeting: run the day

  1. Switch to Day on the event day. The top band is every event’s chain, the two bands under it are your people and your trucks, all on one clock. Drag people out of the Roster onto the bars that are short, drop someone onto a truck to make them its driver, and move a spare hand from one event to another by dragging their bar across. Then work the fit check list on the right until it reads “Everything fits. Nothing to resolve today.” Run the day on the Day board

Event day: let the crew punch

  1. Your crew opens Time clock or the app, sees the job with its crew, its truck, and its work list, and punches against each item as they do it, photos included. Tapping through gives them the job sheet: the full sold description and the reference photos. You planned in hours; now you collect them. See your day and punch in

After: close the loop

  1. The recondition task is already in the backlog for the days after the event. Place it like anything else, and the cleanup stops being invisible labor.
  2. When a time-off request arrives midweek, approve it from the Approvals hub and watch the board mark the days by itself. Request and approve time off

Run that loop twice and it becomes the Monday routine: frame what signed, place the backlog, walk the day board, and read the Week column before it reads you.
