Delete a proposal version, and get it back
Two different things can go wrong while you build a proposal, and Florio has a different answer for each. If you changed lines or prices and want the earlier numbers back, use Version history: the version stays, only its content moves. If the version itself is the mistake, a draft started on the wrong event or a second option nobody wants, delete it. A deleted version is not gone: Florio keeps it, with everything in it, for 30 days.
Delete a draft version
- Open the draft version. In the actions on the right, open the Manage group and choose Delete this version.
- The dialog names what is about to go: the proposal and its version number, how many lines it holds and how many photos. Read it. If you only meant to undo some edits, choose Keep this version and open Version history instead.
- Choose Delete version. The version leaves the event and you land back on the event’s proposals. If it was the only version of that proposal, the proposal card goes with it.
Only a draft can be deleted. A version that has been approved, sent or signed is the client’s record and stays.
Get a deleted version back
For 30 days after the delete, the event offers it back in two places:
- On the event’s Proposals tab, a line above the proposals says which version was deleted, when, by whom, and the date it can be restored until. Choose Restore.
- On the event’s Activity tab, the Draft proposal discarded line carries the same Restore button while the version can still come back.
Restoring puts the version back exactly as it was: the same proposal, its sections and lines, their costs, descriptions and photos, and its version history. Florio opens it for you, and the activity log adds a Proposal restored line. If another version took its number in the meantime, it comes back as the next version number of that proposal.
Good to know
- Thirty days, then the photos go. After the window the version can no longer be restored and its photo files are deleted for good. The lines and prices stay on record in the activity log, but not in a form you can open.
- Deleting and restoring take the same permission as editing a proposal.
- A version restored by a colleague is just a draft again. It is not sent, not approved and holds no rental reservations until you submit it as usual.
