What your clients see in the portal

This page is the customer’s side of the client portal, so that when someone calls about what is on their screen you know what they are looking at. View as, on the client’s Portal access card, shows you the same thing live.

Signing in

There is no password. The customer enters their work email and gets a six-digit code and a sign-in link by email; either one signs them in. A person who belongs to more than one of your accounts switches between them from the header.

Home

What needs them first: findings waiting for approval, an invoice due, a visit to confirm. Then the next visit, with the technician’s first name and photo and, once the technician is on the way, how far out they are. Then open requests and recent activity.

Service and requests

Every request, open and past, with each visit as it stands: scheduled, on the way, on site, done. From a completed visit they can tell you it is fixed or still broken, rate the visit, and, where you allow it, move or cancel a visit under the same rules as the links in your emails. Request service opens a real request at once, with the site, the device when you offer the picker, urgency and preferred days; the portal warns them when a similar request is already open at that site.

Findings

What the technician found and proposed, waiting for them with how long the pricing holds. Review and approve opens the Summary of Findings page itself: the options, the signature, the card. Approved findings stay as receipts.

Billing

The open balance and what is due when. Every invoice with its document, and Pay now on anything open: a saved card, a new card, Apple Pay or Google Pay, or a bank account. The sheet says what the invoice already contains. A card pays the balance as it stands, surcharge included; a bank debit pays the amount your invoice promises for ACH or check, and the invoice reads Payment pending until it settles. A receipt goes out by email. Cards on file are the same cards your technician’s iPad offers on the next visit.

Plans

Each service agreement: the term, what is included, inspections used and remaining, the card it bills to with Use a different card, and a way to ask about adding a site or renewing. Nothing is charged from that page.

Sites and equipment

Each site with its open requests and last visit, then the installed equipment: model, serial, when it was installed, and its service history. Report a problem with this starts a request with the device already chosen.

Documents

Receipts, the service terms they signed, files you shared on their requests, and the documents you keep for them, such as a certificate of insurance or a W-9.

Messages

When you switch Messages on, a customer can write about a request. The message lands on the request’s timeline, reaches your service mailbox with the request reference, and raises a task for the coordinator. You answer by email; the reply is filed on the request and the customer sees it in the portal when their address was on it.
